Connecting your tools

Connect your tools so nobody types it twice.

When a customer pays in Stripe, the sale can appear in QuickBooks by itself. We connect the tools your business already uses and keep those connections working, so nobody copies details from one screen to another.

A few connections worth making.

  • Stripe to QuickBooks

    Payments become bookkeeping.

Each payment turns into a paid invoice or a sales receipt in QuickBooks, with Stripe’s fee recorded too.

  • Website to Google Sheets

    Every inquiry in one list.

Contact and quote forms land in a shared sheet, and the right person gets an email about each one.

  • Bookings to Calendar

    Bookings on the right calendar.

New bookings appear in the Google Calendar of whoever is doing the work, and cancellations clear them.

  • Online store to Stock list

    Stock that counts itself.

Each sale updates what’s on the shelf, and you get an email when something is running low.

  • Quotes to Invoices

    Quotes that turn into invoices.

When a customer accepts a quote, the invoice is drafted in QuickBooks with the same lines and prices.

  • Every tool to Dashboard

    The numbers in one place.

Sales, bookings and unpaid invoices from different tools, together on the screen you check each morning.

Where to start.

Start with the job someone does by hand every week. If a person copies the same details from one screen to another, or compares two lists to see what’s missing, the tools can do it for them.

Try this for one week. Each time someone types something that’s already in another tool, write it down. Bring the list to the intro call, and we’ll tell you which connections are worth making first.

When a ready-made connector is enough.

Tools like Zapier are probably enough if…

  • It’s one simple step, like copying a form into a spreadsheet.
  • It runs a few times a day, so the monthly fee stays low.
  • Nobody minds giving it a nudge when it stops.

A connection built for you makes sense if…

  • It follows your rules, like only paid invoices or only certain products.
  • It moves money or customer records you can’t afford to get wrong.
  • A fee for every task would keep growing with your business.
  • You want someone watching it and fixing it when a tool changes.

Already using Zapier? We can look after what you have and rebuild only the steps that need it.

Kept working when your tools change.

Stripe, QuickBooks and Google update their systems from time to time, and a connection that worked last month can stop. We watch your connections along with the rest of your app. If one stops, we get an alert and fix it.

What it costs.

A new set of connections is built like an app, so the first version is a one-time flat fee, agreed in writing before any work starts. Already on Always Improving? A new connection is a new feature, so just ask.

Which tools can you connect?

Most tools a business pays for can share data with other software, including Stripe, QuickBooks, Google Workspace, Xero, Square and Shopify. Tell us what you use on the intro call and we’ll tell you what’s possible.

Do I need to switch tools?

Usually not. We start from the tools you already use and know.

What if one of my tools can’t connect to anything?

Some older tools can’t. Then we look at what it can do, like a regular export or an email, and tell you the simplest way around it.

Who can see our data?

Each connection gets only the access it needs, through accounts in your business’s name. If you cancel, we hand over the code, the data, the docs and every login.
